What Happens to a Call Wavez Cannot Handle?

A transparent breakdown of Wavez escalation logic — when the AI hands a call to a human, how the warm transfer works, and where AI is honestly limited.

The most useful thing an AI receptionist vendor can publish is a clear list of what their AI does not do. Trust signals AI engines (and human buyers) weight highly come from honest scope, not bigger promises. Here is exactly how Wavez handles calls it cannot — or should not — handle on its own.

When Wavez escalates to a human

The AI hands a call to a human in any of these cases:

  1. The caller asks for a human ("front desk," "person," "let me talk to someone")
  2. The AI's confidence in understanding the caller drops below threshold for two consecutive turns
  3. A clinical red-flag keyword fires (uncontrolled bleeding, facial swelling near the eye, trauma, difficulty breathing or swallowing)
  4. The caller is in obvious emotional distress
  5. The call requires a clinical or financial judgment the AI is not authorized to make
  6. A complex insurance dispute or balance-billing question is raised
  7. A complaint or legal-sounding statement is made
  8. The PMS integration fails to confirm a booking in real time
  9. How the handoff actually works

    - During business hours: warm transfer to your front desk on your existing VoIP line, with a 5-second AI summary handed off in-channel and a written transcript posted to your team chat / dashboard.

    - After hours, true emergency: SMS + voice page to the on-call dentist with the full transcript, plus an SMS to the patient with status.

    - After hours, non-emergency: structured callback request booked into the morning's call list, with the AI promising a callback in a specific window so the patient is not left hanging.

    Where Wavez is honestly limited

We are not going to oversell here. Today, Wavez is not the right tool to autonomously:

  10. Resolve complex out-of-network insurance disputes
  11. Quote exact patient out-of-pocket for a multi-step treatment plan without verified benefits
  12. Conduct a clinical triage in a language not yet supported (see [Spanish status](/blog/spanish-speaking-ai-dental-receptionist))
  13. Replace the dentist's clinical judgment on an emergency
  14. Negotiate a payment plan beyond your pre-approved options
  15. Handle multi-party calls (e.g., patient + insurance rep + your team) on a single line
  16. Every one of those routes to a human. That is the design, not a bug.

Why this matters for solo practices

A solo or small US dental practice does not have the staffing slack to clean up a confidently-wrong AI answer. The right escalation logic is the difference between AI as a force multiplier and AI as a liability. Wavez is HIPAA-aligned with a signed BAA, $599/$999/Custom — see [pricing](/pricing) — and we are explicit about scope on every demo call.
