Who we are
Wavez Automation provides an AI voice receptionist service to US dental practices. This policy describes how we handle information collected through our website (wavezautomation.online) and our AI receptionist service.
What we collect from website visitors
- Standard analytics: page views, referrer, coarse geography, device type — collected via Google Analytics 4.
- Contact form submissions: name, email, and any message content you send us.
- Demo bookings: contact details and the time slot you select.
What we collect through the AI receptionist
When a dental practice deploys Wavez, our service handles inbound phone calls on the practice's behalf. During those calls we process:
- Caller name, phone number, and any information the caller volunteers to book or manage an appointment.
- Call audio (for transcription and quality) and transcripts.
- Appointment data written to the practice's PMS.
Wavez is a Business Associate of the dental practice under HIPAA. A Business Associate Agreement (BAA) is available on request and signed before any live patient calls are handled.
How we use information
- To deliver the AI receptionist service to the practice that engaged us.
- To improve accuracy, latency, and reliability of the service.
- To respond to inquiries from website visitors.
Sharing and subprocessors
We use industry-standard cloud vendors to deliver the service, including voice/AI infrastructure, transcription, and hosting providers. A current list of subprocessors is available on request.
Retention
Website analytics: retained per Google Analytics defaults. Contact submissions: retained until you request deletion. Call recordings and transcripts: retained per the practice's retention preference.
Your rights
You may request access, correction, or deletion of any personal information we hold about you by emailing wavezautomation@gmail.com. Patients whose calls are handled by Wavez on behalf of a dental practice should direct data requests to that practice, which is the covered entity under HIPAA.
